Fuel Reports
Fuel Reports record and monitor fleet fuel consumption — tracking volume, cost, odometer readings, and fuel-up locations for cost analysis, budget control, and anomaly detection.
Fuel Report Fields

Report Statuses
| Status | Meaning |
|---|---|
pending | Awaiting operator review |
approved | Verified and accepted — included in cost calculations |
rejected | Flagged as inaccurate — excluded from reporting |
Creating a Fuel Report (Console)
- Navigate to Fleet Management → Resources → Fuel Reports
- Click + New Fuel Report
- Select driver and vehicle
- Enter volume, amount, and odometer reading
- Set the fuel station location
- Add notes if needed
- Save
Driver-Submitted Reports (FM Mobile App)
Drivers can submit fuel reports directly from the FM Mobile app:
- Tap Fuel Report in the app menu
- Driver and GPS location are pre-filled
- Enter vehicle, volume, amount, and odometer
- Submit
Reports submitted by drivers start in pending status for operator review.
Operator Review
Operators review pending reports and take one of two actions:
- Approve — confirms the report and includes it in cost calculations
- Reject — flags the report as inaccurate and notifies the driver
Analysis Applications
Fuel reports provide the data foundation for:

Click Export in the fuel reports list to download a CSV of all reports, filterable by driver, vehicle, fleet, date range, and status.
