rejectedFlagged as inaccurate — excluded from reporting

Creating a Fuel Report (Console)

  1. Navigate to Fleet Management → Resources → Fuel Reports
  2. Click + New Fuel Report
  3. Select driver and vehicle
  4. Enter volume, amount, and odometer reading
  5. Set the fuel station location

Driver-Submitted Reports (FM Mobile App)

Drivers can submit fuel reports directly from the FM Mobile app:

  1. Tap Fuel Report in the app menu
  2. Driver and GPS location are pre-filled
  3. Enter vehicle, volume, amount, and odometer
  4. Submit

Reports submitted by drivers start in pending status for operator review.

Operator Review

Operators review pending reports and take one of two actions:

  • Approve — confirms the report and includes it in cost calculations
  • Reject — flags the report as inaccurate and notifies the driver

Analysis Applications

Fuel reports provide the data foundation for:

AnalysisDescription
Cost per kmCalculate fuel efficiency across the fleet
Consumption anomaliesDetect unusually high fill-ups or suspiciously low readings
Fleet cost allocationBreak down fuel costs by vehicle, driver, or fleet
Budget trackingMonitor actual fuel spend against planned budgets
Service interval planningUse odometer data to trigger maintenance schedules

Export

Click Export in the fuel reports list to download a CSV of all reports, filterable by driver, vehicle, fleet, date range, and status.
